Getting Started
FieldForge is a voice-powered platform built for field service businesses across 6 trades — HVAC, Plumbing, Electrical, Appliance Repair, Garage Door, and Pool & Spa. A tech records a voice note describing the job, and FieldForge automatically builds a professional invoice, sends it to the customer by text or email, and tracks payment. Everything happens in the FieldForge app on your phone.
Yes. FieldForge handles both service calls and new installs. Just describe the job in your voice note — whether it's a repair, maintenance visit, or full equipment installation. The job type is captured automatically.
Go to usefieldforge.com/app, enter your cell number, confirm the code we text you, and fill in your company details. You're invoicing in about 2 minutes — no approval wait, no credit card.
Nothing to install — FieldForge runs in your phone's browser, and you can add it to your home screen in one tap. Your customers don't install anything either: they receive a text or email with the invoice and payment link.
About 2 minutes for the owner: verify your cell number, then enter your hourly rate, tax rate, company info, and optionally a payment link. Techs sign in just as fast — you add them by name and cell number, and they log in with a code we text them.
The signup form asks for: your company name, owner name, hourly labor rate (e.g. 95 for $95/hr), tax rate (e.g. 8.5 for 8.5%), company phone number and address, and your trade. That's it.
Open the Team screen and add each tech's name and cell number. They sign in at usefieldforge.com/app with a code we text them — no invite codes to pass around. You can also add an office Admin who runs reports and scheduling but doesn't record jobs.
FieldForge currently supports 6 trades: HVAC, Plumbing, Electrical, Appliance Repair, Garage Door, and Pool & Spa. You choose your trade during onboarding and get a pre-loaded parts price sheet with 100 common parts for that industry. Each trade's FieldForge is tuned to recognize the specific parts, job types, and terminology used in that field. More trades are planned — let us know which you'd like to see next.
Yes — FieldForge is fully bilingual. If a tech describes a job in Spanish, the FieldForge understands it, matches the parts correctly, and generates a professional invoice just like it would in English. No setup or settings change needed. A tech can even mix English and Spanish in the same voice note and it still works. This is especially useful for crews where not everyone is comfortable in English on the job site.
Payments & Reminders
Yes. In Settings → Card Payments, tap Connect card payments once to securely link your bank through Stripe — then every invoice shows a Pay by card button. Your customer taps it, pays by card, and the job is marked Paid automatically. The money is deposited straight to your own bank account via Stripe, and FieldForge charges a small 1% fee on card payments. You can turn the button on or off anytime in Settings, and you'll see your connection status there too.
Yes — on Solo Pro, Trio, Crew, and Fleet plans. FieldForge automatically sends a payment reminder to the customer via SMS or email (whichever delivery method you have set) for any invoice that hasn't been paid. You control the frequency (daily or weekly) and can turn it on or off in Settings. Reminders stop as soon as the invoice is paid — whether the customer pays by card or you tap Mark Paid.
Parts & Prices
A Google Sheet created specifically for your company during onboarding, pre-loaded with 100 common parts for your trade. The FieldForge reads this sheet every time you submit a voice note and uses your prices to build the invoice.
You can view the parts list from the Mobile app and view/edit from Command Center. You are provided with a Google Sheets link at the end of onboarding. You can also find it in your Google Drive. You were granted editor access using the email address you provided during setup.
Yes. You can view/edit from Command Center or simply just add a new row to the Parts List tab in your Google Sheet. Include the part name, part number, unit price, and optionally a common alias. Changes take effect on your next voice note — no restart needed.
Yes. Edit the Unit Price from Command Center or Unit Price column directly in Google Sheets. The FieldForge uses your current prices every time, so changes are immediate.
An alternate name for a part that helps the FieldForge make the right match from your voice description. For example, if your sheet lists "Wax Ring" but a tech says "wax seal," the alias ensures the FieldForge picks the correct part. You can add multiple aliases per part.
The draft invoice appears on your screen before anything reaches the customer. If something looks off, you'll see a low-confidence warning (⚠️), and you can tap Edit to fix any line. Add a common alias for that part in your sheet to prevent it in the future.
Yes — just delete it from the Command Center or the row from your Google Sheet. The FieldForge only searches parts that are in the sheet.
Branding & Logo
Logo branding is available on all paid plans (Solo Pro and above). Open Settings → Invoice Logo and tap Upload logo — pick your logo image (PNG or JPG) right from your phone. That's it. Your logo appears on every invoice and estimate from that point on. To change it later, upload a new one or tap Remove.
PNG with a transparent background works best — it looks clean on the white invoice. Recommended size is around 300×100 pixels (wide and short). Avoid very large files — anything over 1MB may slow down PDF generation. Square logos also work fine.
Voice Notes & Invoices
Yes. Record the job the same way, flip the toggle to Estimate, and tap Send Estimate. Your customer receives a price estimate (clearly marked "not a bill," no payment link) they can approve with one tap. The moment they approve, you are notified — tap Convert to Invoice and send it for payment. Estimates do not count against your monthly invoice limit.
Yes. FieldForge understands English and Spanish — no settings to change. A tech can say "Cambié el capacitor y limpié el condensador en casa de García, dos horas, su número es 404-555-8821" and get a perfect invoice. They can even mix both languages in the same note. Especially useful for bilingual crews or Spanish-speaking technicians.
Include: the customer's name, their address or location, what parts you used, how long the job took, and the customer's phone number. Example: "Johnson on 123 Oak Street, replaced the capacitor and cleaned the coils, 2.5 hours, customer phone is 404-555-1234." The FieldForge handles the rest.
Very accurate for standard field descriptions. The app shows a confidence score on each draft. If confidence is below 80%, you'll see a warning to review the invoice before it goes out. Accuracy improves as you keep your parts sheet and aliases up to date.
Your hourly rate × the time mentioned in the voice note. For example, if your rate is $95/hr and the tech says "2.5 hours," labor = $237.50. Your hourly rate is set during onboarding and can be updated anytime.
Via SMS, email, or both — you pick the default in Settings → Invoice Delivery. By default, invoices are texted to the customer's phone from the voice note. Choose email or both to include an email copy. The customer doesn't need any app regardless of delivery method.
Yes. Open the Jobs list, find the invoice, and tap Resend Invoice — it re-sends the invoice and payment link to your customer by text or email. You can resend as many times as you need until it's paid.
Yes. FieldForge automatically captures equipment details (brand, model, and serial number) from your voice note for any trade — HVAC units, appliances, garage door openers, pool equipment, and more. They appear on the invoice, and you can keep a full Equipment list per customer in the app and search it by typing in the search box.
Voice notes recorded without internet are saved on your phone and send automatically when you reconnect — no action needed. This is useful on job sites with poor signal. Sending an invoice and editing a draft need an active connection, since they reach our servers immediately.
Yes. Open the Jobs list and start typing in the search box — it matches on customer name, address, phone, status, and notes. You can also search your Customers and Equipment the same way. All your job data is also in your Google Sheets jobs tab.
Yes. Open Purchase Orders from the home menu, pick a vendor (or add a new one), list the parts and quantities — prices are optional — and save. Tap Email vendor or Text vendor to send the PO straight to your supply house. Each PO gets its own number and tracks from Draft to Ordered to Received, and your vendors are saved so the next order is faster.
Team, Time & Pay
Yes. Techs clock in and out right from the home screen or the Timesheets screen, and can link the time to a scheduled job. You see everyone's week, edit or add entries, and approve hours with one tap — approved entries lock so payroll numbers can't drift. Overtime past 40 hours a week is flagged automatically.
You set a pay profile per tech — hourly rate, weekly salary, % of sales, % of job profit, a bonus per paid job, or any combination. FieldForge then does the math automatically: approved hours (with overtime at 1.5×), plus commissions on jobs paid in the period, calculated pre-tax. Profit share uses real job profit — revenue minus materials from receipts or your parts costs. Open Pay to see everyone's gross for the week, and download a payroll-ready CSV for Gusto or QuickBooks.
Yes — that's the point. Every tech has a My Pay screen showing what they've earned this week, this month, and on every job — commissions appear the moment a customer pays. Techs who can see their numbers sell more and stay longer.
Yes. When booking a job, set it to repeat weekly, every two weeks, or monthly — up to 26 visits land on the calendar at once. Each visit is independent (complete or cancel one without touching the rest), and "End series" cancels the remainder in one tap. Perfect for maintenance agreements and route work.
Yes. FieldForge gives you a personal booking link — put it on your website, Google Business profile, or text it to customers. They request a visit in about 30 seconds, you get an instant text, and the request appears on your Schedule where one tap assigns it to a tech and confirms it. Spam is filtered automatically.
Tap the bell on the home screen. The Activity feed shows everything as it happens — jobs recorded, estimates sent, invoices paid (and how), work booked, new customers, purchase orders — grouped by day, for owners and admins.
Yes. Set the company default once (say, Mon–Fri 8–5) and every tech follows it automatically — including new hires, with zero setup. Techs can set their own hours and days off, and owners or admins can override anyone's. When you book a job outside someone's hours, FieldForge warns you ("Friday is a day off") and lets you override for emergencies.
Timesheets and hourly pay are included on all paid plans, starting with Solo Pro ($19/mo). The full performance-pay engine — salary, % of sales, % of profit, spiffs, and the payroll export — is included on Trio ($29/mo) and up. For comparison, this is the feature ServiceTitan charges roughly $300 per tech per month for.
Plans & Billing
FieldForge lets you know when you've reached your monthly invoice limit. You won't be able to send new invoices until the 1st of the next month (when counters reset) or until you upgrade. Open Settings → Plan & Billing to see your options and switch plans immediately.
Yes. Open Settings → Plan & Billing and tap Cancel subscription. Your plan stays active until the end of your billing period. After that, you automatically move to the Free plan (1 tech, 15 invoices/month). Your data is never deleted.
Yes. Upgrades apply immediately — you're charged the prorated difference. Downgrades are scheduled to apply at the end of your current billing period. Manage it all in Settings → Plan & Billing.
Share your referral code with another field service business owner. When they sign up and enter your code, you earn 1 free month — automatically applied to your next billing cycle. Get your code in Settings → Referral Code. There's no limit on how many referrals you can make.
Everything stays in your Google Sheet — jobs, invoices, customer info, everything. The data is yours and we don't remove it when you downgrade or cancel.
Billing is handled by Stripe — secure, monthly, and automatic. You receive a receipt after each charge. Manage your subscription entirely in the app under Settings → Plan & Billing — no separate portal needed.
FieldForge charges a 1% platform fee on each card payment collected. Stripe also charges their standard processing fee (typically 2.9% + 30¢ per transaction). Both fees are deducted automatically before the money is deposited into your bank — you never handle them manually. There is no monthly fee or setup cost to use card payments.
Stripe deposits funds on their standard payout schedule — typically 2 business days after a payment is made. Your payout timing is set in your Stripe account (created when you connect card payments in Settings). FieldForge never holds your money — it goes directly from Stripe to your bank.
No — card payments are available on all plans including the free Solo plan. Connect card payments once in Settings to link your bank through Stripe, and every invoice you send will include a Pay by card button for your customer.
